Rental Terms
All vehicle rentals are governed by a comprehensive Rental Agreement, which you will receive upon booking confirmation or when collecting your vehicle. This document outlines the specific terms, conditions, insurance information, fees, and your obligations regarding the rental. In the event of any discrepancies between these Terms and the Rental Agreement, the Rental Agreement will prevail.
Eligibility Criteria
Requirements for Vehicle Rental
- To hire a vehicle in Hertfordshire, you must be at least 21 years old, though age restrictions may vary based on the vehicle type, with extra fees applicable for drivers under 25. A valid full driving licence, held for the duration outlined in the Rental Agreement, is required. Additionally, you must present valid identification and proof of your current address, as well as provide payment information and a security deposit. Any other specific requirements will be detailed in the Rental Agreement.
3. Reservations and Payments
- Reservations can be made via our website, by telephone, or in person at our Hertfordshire office. To confirm your booking, a deposit may be necessary. The total payment, along with a security deposit, is usually required at the time of vehicle pickup. All prices are listed in British Pounds (£) and include VAT as applicable. We accept major credit and debit cards, with secure processing through trusted payment providers.
Vehicle Pickup and Drop-off
- At the time of collection, it is important to conduct a thorough inspection of the vehicle and report any pre-existing damage without delay. A vehicle condition report will be completed and signed by both parties. The vehicle should be returned in the same condition as it was collected, taking into account normal wear and tear. Any new damage will be evaluated and may incur additional charges. Please return the vehicle with the same fuel level as at the start of the rental; refueling charges will apply if the fuel level is lower. If you expect to return the vehicle late, inform us as soon as possible, as late returns may result in extra fees. You will be held liable for any parking fines, traffic violations, or charges that arise during the rental, along with an administration fee.
Insurance and Liability Coverage
- Every rental includes basic third-party insurance, with full coverage specifics and excess amounts outlined in the Rental Agreement. Options for additional insurance may be offered to lower your financial liability. It is prudent to examine these options closely. You remain liable for any damage or loss up to the excess amount, except where additional insurance applies. Damage resulting from negligence, misuse, or violation of these Terms remains your responsibility, regardless of insurance status.
Cancellation and Modifications
Cancellation and amendment policies differ based on the type of booking and the notice given. For specific information, consult your booking confirmation or Rental Agreement. Be aware that late cancellations or failure to show may incur additional charges.
Prohibited Activities
Prohibited Uses of Rental Vehicle
- Use of the vehicle for any unlawful activities is prohibited. This includes racing, rallying, off-roading, or engaging in any dangerous practices. Transporting hazardous materials or substances is not allowed. Sub-letting the vehicle or permitting unauthorized drivers is prohibited. Operating the vehicle while under the influence of alcohol or drugs is strictly forbidden. The vehicle must not be used for purposes it was not intended for. Adhering to passenger and weight limits is mandatory. Driving beyond the agreed geographical boundaries without prior permission is not permitted.
Breach of these terms may lead to rental cancellation and extra fees.
Liability Restrictions
To the fullest extent allowed under English and Welsh law, Car Hire Hertfordshire will not be responsible for any indirect, incidental, special, or consequential damages, including loss of profits, data, or business resulting from your use of our services. Our maximum liability for any claim will not exceed the total amount paid for the rental in the last 12 months. This limitation does not apply to liability for death or personal injury caused by negligence or fraud.

These Terms are governed by the laws of England and Wales. Any disputes will be resolved within the jurisdiction of English and Welsh courts.
